ADMINISTRATIVE COORDINATOR
PERMANENT, FULL TIME
Rampart is seeking a highly organized and proactive Administrative Coordinator to support our business operations, marketing department, events, and key executives. This role is instrumental in maintaining efficiency, tracking projects, and ensuring tasks are completed on time. The ideal candidate is a detail-oriented problem solver who thrives in a fast-paced environment, is unafraid to hold teams accountable, and is committed to enhancing productivity through organization and tracking. The Administrative Coordinator will manage schedules, track projects, maintain records, and facilitate seamless communication across teams. They will play a key role in coordinating major events, supporting marketing initiatives, and providing executive support.
RESPONSIBILITIES
Marketing & project coordination
- Oversee and maintain the marketing department’s schedule and project timelines, ensuring all initiatives are on track and following established procedures.
- Manage and update marketing task trackers and project boards, keeping teams accountable and improving efficiency.
- Organize, maintain, and ensure accessibility of marketing files, documents, and assets, keeping both internal and external drives up to date.
- Track marketing budgets and expenses, assisting with financial documentation and reporting.
- Review marketing materials for accuracy, ensuring all assets meet quality standards before distribution.
EVENT COORDINATION & LOGISTICS
- Serve as the event coordinator for Rampart Range Day & Expo, managing all third-party vendors, handling event budgeting, overseeing communications, and leading team meetings. This position will act as the point of contact for event logistics, problem-solving in real time to keep everything running seamlessly.
- Manage the company’s tradeshow and event schedule, including show registrations, logistics, gear lists, and shipping details to ensure smooth execution.
EXECUTIVE SUPPORT
- Provide high-level administrative support to key executives, including but not limited to:
- Travel coordination – researching, booking, and managing travel itineraries.
- Meeting coordination and support
- Calendar management
GENERAL ADMINSITRATION & COMMUNICATIONS
- Communicate and coordinate with brands and partners regarding product updates, gathering necessary information, assets, and marketing materials.
- Manage and maintain inventory of promotional items and company apparel
QUALIFICATIONS
- 2+ years of experience in an administrative, project coordination, or operations role
- Highly organized with exceptional attention to detail and the ability to manage multiple projects simultaneously.
- Strong ability to track progress, enforce deadlines, and hold teams accountable to ensure tasks are completed on time.
- Experience with task management tools (e.g., Notion, Microsoft Planner, Trello, Asana) and file organization systems.
- Proactive problem solver with the confidence to take initiative and execute tasks independently.
- Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) and comfort with data management.
- Excellent communication skills, both written and verbal, with the ability to coordinate across departments
- Pay: $60,000.00 - $70,000.00 per year

JUNIOR CONTROLLER
PERMANENT, FULL TIME
Rampart is seeking a detail-oriented and knowledgeable Junior Controller to join our Finance team! With opportunity for career growth, this role will be critical to maintaining and enhancing the financial health of Rampart and its subsidiaries. The ideal candidate is a motivated problem solver who will thrive in a fast-paced environment, will work well in a team, and is committed to learning the business’ operations. This role will be critical in enhancing operational efficiency and increase visibility across the business.
RESPONSIBILITIES
- Manage an accounting team of A/R, A/P and purchasing clerks.
- Work directly with the Controller to manage full cycle bookkeeping, financial reporting and intercompany financial statements for the Rampart group of companies
- Assist in preparing monthly financial statements for directors and executive team
- Assisting in the preparation of year-end working papers for external auditors
- Semi-monthly payroll and monthly government reporting and remittances
- Manage compliance for government programs and licenses
- Manage relationship and reporting requirements with external creditors
- Assist in the preparation of weekly cash flow projections to be presented to directors and executives
- Continual assessment of accounting and business operations to provide recommendations for improvement and efficiency.
- Maintain and organize electronic and physical files
- Administer group health insurance plan
- Manage and work with Controller on Human Resources initiatives and responsibilities
- Other directives as requested by management
- 3+ years of accounting experience
- CPA designation (or working towards designation) is strongly preferred
- Knowledge and understanding of GAAP and other accounting policies is required
- Proficiency with MS applications (Excel, Word, etc.) is required
- Previous experience with Quickbooks is considered an asset
- Experience with intercompany financial reporting is considered an asset
- Experience with foreign currencies is considered an asset
- Produce work with a high level of accuracy and attention to detail
- Ability to manage conflicting priorities and re-prioritize deliverables
- Pay: $70,000.00 - $85,000.00 per year (Bonus pay available)
- Experience: 3+ years of accounting experience (required)
